1. Introduction
Starshield Paints ("we", "us", "our") operates the FieldTrack mobile application ("FieldTrack", "the App"). FieldTrack is a workplace management tool provided to employees by their employer (the "Organization") for the purpose of recording attendance, tracking field work, and managing tasks.
This Privacy Policy explains what personal data FieldTrack collects, why it is collected, who has access to it, how long it is retained, and what rights you have over your data.
By using FieldTrack, you confirm that your employer has informed you of workplace monitoring in accordance with applicable employment law, and that you have acknowledged the in-app Monitoring Disclosure before first use.
2. Who Controls Your Data
FieldTrack operates on a two-party model:
- Starshield Paints is the developer and technical operator of the App. We build and maintain the platform and process data on behalf of Organizations.
- Your Employer (the Organization) is the data controller for your personal data. Your employer determines what monitoring is enabled, who within the organization can view your data, and how long records are kept.
If you have questions about how your employer uses your data, contact your HR department or organization administrator directly.
3. Data We Collect
3.1 Account Data
When your employer creates your account, the following information is stored:
- Full name
- Work email address
- Employee ID
- Role within the organization (Employee, Manager, Administrator)
3.2 Location Data
When you are clocked in, FieldTrack records your precise GPS location at approximately 30-second intervals. Each location record includes:
- Latitude and longitude (high accuracy)
- Location accuracy in metres
- Altitude
- Speed
- Heading (direction of travel)
- Timestamp of recording
Depending on your organization's settings, location tracking may also occur outside of clocked-in hours if your employer has enabled this setting. You will be informed of this during onboarding by your employer.
Location data is uploaded to secure servers and is visible to authorized managers and administrators in your organization in real time.
3.3 Screen Captures (Screenshots)
When you are clocked in, FieldTrack captures a screenshot of your device screen approximately every 30 seconds to verify work activity. Screenshots are automatically uploaded to your organization's secure records.
Screenshots are only captured while the app is in the foreground. Capture stops immediately when you clock out or close the app.
3.4 Attendance Photos
A photo taken using your device's camera is required each time you clock in and each time you clock out. These photos are used to verify your presence and identity. They are stored against your attendance record and are accessible to authorized personnel in your organization.
3.5 Task Documentation Photos
When completing tasks, you may optionally attach photos from your camera or photo library as evidence of task completion. These photos are stored against the relevant task record.
3.6 Device Information
Each time a GPS location batch is uploaded, the following device information is recorded alongside your location:
- Device battery level (percentage)
- Network connection type (Wi-Fi, cellular, etc.)
- A device identifier used to associate records with your device
3.7 Notification Data
If you grant notification permissions, we store a push notification token to deliver alerts from your organization (e.g., geofence alerts, task updates). This token is associated with your account and device.
3.8 Usage and Session Data
Standard server logs may record app version, operating system version, timestamps of API requests, and error reports. This data is used solely for technical operation, security monitoring, and debugging.
4. Why We Collect This Data

All monitoring is conducted for lawful employment management purposes only. Data collected through FieldTrack is never sold, rented, or shared with advertising networks or data brokers.
5. Who Has Access to Your Data
Within Your Organization
Depending on their role, the following categories of personnel at your employer may access your data:
- Managers: Location history, attendance records, clock-in/out photos, and task records for employees they supervise.
- Administrators: All of the above plus screenshots and full organization-wide records.
- HR Personnel: Attendance records and account data as required.
Starshield Paints (Technical Operator)
Starshield Paints staff access data only for the purpose of technical support, debugging, and platform maintenance. Access is logged and restricted to authorized personnel.
Third-Party Service Providers
We use the following categories of third-party services to operate the platform:
- Cloud hosting and database providers — to store your data securely
- Push notification services — to deliver alerts to your device
- Error monitoring tools — to detect and fix application errors (no personal content such as screenshots or photos is sent to these services)
All third-party providers are contractually bound to process data only on our instructions and in accordance with applicable data protection law.
Legal Disclosure
We may disclose your data if required to do so by law, court order, or government authority, or to protect the rights and safety of any person.
6. Data Retention
Your data is retained for as long as your employment relationship with the Organization continues, and for a period thereafter as required by your employer's legal and operational obligations (typically 2–7 years depending on jurisdiction and record type).
When your account is deactivated or your employment ends:
- Your account is marked inactive and you can no longer log in
- Your historical records (attendance, location, photos, screenshots) are retained for the period specified by your employer
- You may request earlier deletion — see Section 8
7. Data Security
We implement industry-standard security measures to protect your data, including:
- Encrypted transmission (HTTPS/TLS) for all data sent between the app and our servers
- Encrypted storage for sensitive credentials on your device (using the device's secure enclave via expo-secure-store)
- Access controls limiting data access to authorized personnel
- Regular security reviews
No transmission over the internet or electronic storage is 100% secure. While we take all reasonable precautions, we cannot guarantee absolute security.
8. Your Rights
Depending on your location, you may have the following rights over your personal data:

We will respond to all requests within 30 days. Some requests may need to be verified before we can action them.
9. Children's Privacy
FieldTrack is a workplace application intended solely for use by adults (18 years and over) in an employment context. We do not knowingly collect data from persons under 18 years of age. If you believe a minor's data has been collected, contact us immediately at accounts@starshieldpaints.com.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the App, our practices, or applicable law. When we make material changes, we will update the "Last Updated" date at the top of this page.
If changes affect how your data is collected or used in a significant way, the App will prompt you to review and re-acknowledge the updated disclosure before continued use.
We encourage you to review this policy periodically.
